Board Meeting News
February 17th 2009 Meeting
Meeting called to order at 7:50 pm
Board Members present: Donna Burkholder, Lil Vaughn, Richard Stringer, Roberto Marquez,
Mary Cade, Bev Meader, Susan Delaney, Lonnie Cade, Connie Edwards
Minutes were read and a motion was made, seconded, and passed to accept them.
Mary reviewed the bank statement and ledger. The NMDA balance is approximately $4,444.44. This is after the payment to ADO. The ADO Balance is $693.37.
Old Business:
There was quite a bit of discussion regarding the WINMAU Tournament. It was decided that the tournament would be a $1,250 tournament held on the weekend of March 13th. The regional play-offs would be on Friday starting at noon. The tournament would be held on Friday and Saturday. The set-up would be done on Thursday before the tournament and broken down on Sunday afternoon. A motion was made and seconded and passed for the WINMAU tournament.
There will not be a tournament in April. The State Championship is in July and there will be an Open tournament in November.
New Business:
The Radisson Proposal was reviewed.
Kathy Beard will check out possible use of the VFW for tournaments. It was believed that cost would be approximately $150. We will wait for further information.
There will be a Play-off for ADO qualifications on March 1st starting at 1pm.
Robert proposed obtaining a locked bag for cash. A motion was made, seconded and passed.
Susan Delaney asked about letterhead and form letters for sponsorships. Beverly believes that we have form letters and letterhead. She will check and report back.
Susan will contact people for donations and sponsorship. A motion was passed.
Justin Edwards should be posting the stats on the website.
The next meeting of the Board will be March 17th @7pm.
A motion was made and seconded that the meeting should close at 8:25pm.
Discussion was opened regarding the Tournament in April. We discussed the cost of using trophies or T-shirts for awards. The difference in price was $50-$60 with the T-Shirts being more costly. It was motioned and seconded that we stay with Crown Awards as the supplier and that we would use trophies. The total cost is approximately $328.
New Business:
The Board needs new cards for the NMDA membership. Susan will order 500 cards from Staples. This motion was made, seconded and passed. The cost of these cards was a donation made by Susan Delaney.
A tournament in April needs to be scheduled with the ADO. Donna will call and schedule. There was discussion regarding the place to hold the tournament. It was decided to run a $5,000 prize tournament. The Board believes that we need 2200 or 2500 square feet for the placement of 20 skids. Beverly will check with the Mid-Town Radisson for cost and to see if they will set aside 20 or 25 rooms for Darters. We need to get the ADO to sanction in February. The motion was made by Beverly and seconded by Robert and passed.
Robert is going to check on the Non-profit status. It may be easier to just start over. He will report at the next meeting.
There will be a Mid-Season Captain’s meeting March 24, 2009 at 7pm.
The next Board meeting will be February 17, 2009 at 7:30 pm
